Kelo vs QuickBooks reminders

QuickBooks can remind them. It can't tell you who to chase first.

QuickBooks Online can send automatic invoice reminders on a schedule, and it is worth switching on. But like every built-in reminder it treats every customer the same and sends a generic message. It does not weigh up which unpaid invoice actually needs you this week, and it does not write to the client the way you would. Kelo adds that judgement and that voice on top of QuickBooks, it does not replace the reminders.

QuickBooks reminders alone are enough if

You want a free automatic nudge on overdue invoices and you are content for it to be generic and identical for everyone. It is built in and switching it on is the sensible first move. For a business with a handful of debtors and no relationship sensitivity, it may be all you need.

Add Kelo if

The reminders go out and invoices still sit unpaid, or you avoid the automated reminder because it does not sound like you. Kelo shows you the one client worth chasing first this week and drafts a message in your voice that you approve and send from your own inbox, so it reads like a personal note rather than an accounts email.

A reminder is a broadcast; a chase is a decision

QuickBooks reminders send the same scheduled message to everyone with an overdue invoice. That is useful and free. But it cannot tell you that one large, long-overdue invoice from a key client matters more this week than several small ones, and it cannot write to that client in your words.

Kelo does exactly those two things: it decides (one number, the single action worth taking, ranked by value and days late) and it words it (a draft in your voice you approve). Nothing sends without your sign-off.

It is not Kelo instead of QuickBooks reminders. Keep the reminders on for the routine long tail, and use Kelo for the invoices where a generic nudge will not be what gets you paid.

Common questions

Does QuickBooks send automatic invoice reminders?

Yes. QuickBooks Online can send automatic reminders for overdue (and upcoming) invoices on a schedule you configure. It is worth turning on. It does not, however, prioritise which invoice to chase first or tailor the message per client.

Are QuickBooks reminders enough on their own?

For some businesses, yes. If you have few debtors and a generic automated nudge is fine, the built-in reminders may cover it. Owners tend to want more when the reminders send but invoices still go unpaid, or when the client relationship makes a generic message the wrong approach.

Does Kelo replace QuickBooks reminders?

No. Keep them on for the routine tail. Kelo adds the judgement layer: which client to chase first, and a message in your voice for the invoices where that matters. They complement each other.

Can I use Kelo with QuickBooks?

Yes. Kelo connects to QuickBooks read-only and never changes anything in your account. You can leave the automatic reminders running and use Kelo for the invoices worth a prioritised, personal chase.
